Our Website Privacy Policy

The Law relating to data protection changed on 25th May 2018 when the General Data Protection Regulation (GDPR) came into force.

Your Personal Data

  • Under the GDPR we are ‘data controllers’ of your information. We are called ‘controllers’ because we make decisions about how your data is used – for example to prepare marketing materials – and we also ‘process’ your data when we carry out basic activities like storing, deleting and changing the information that we hold. We take our obligation to protect the information you give us very seriously, and we always take care when using and processing it.
  • We would like you to be informed about how we collect and handle your personal data. This includes your name, email address or social media identifiers and phone numbers. In other words, it covers any and all information about you that is capable of identifying you. Should we ask you to provide certain information by which you can be identified when using this website, then you can be assured that it will only be used in accordance with this privacy statement.

What we collect

We may collect the following information if enrolling on our courses:

  • name date of birth and job title
  • contact information, including postal and email address
  • demographic information such as postcode, preferences and interests
  • other information relevant to customer surveys and/or offers
  • records of payments and achievements
  • information relevant to the course you may be enrolling on

Email Newsletter

What we do with the information we gather

We require this information to understand your needs and provide you with a better service, and for the following reasons:

  • Internal record keeping
  • To meet external Awarding Body requirements
  • We may use the information to improve our products and services.
We may periodically send promotional emails about new products, updates to legislation, special offers or other information which we think you may find interesting, using the email address which you have provided.
  • We may contact you by email, phone, or mail.

How we use Cookies

  • We use traffic log cookies to identify which pages are being used. This helps us analyse data about web page traffic and improve our website in order to tailor it to customer needs. We only use this information for statistical analysis purposes and then the data is removed from the system.
Overall, cookies help us to provide you with a better website, by enabling us to monitor which pages you find useful and which you do not. A cookie in no way gives us access to your computer or any information about you, other than the data you choose to share with us.

How long we keep your information and why

If you have been a learner with Concept Academies then, following each annual external verifier visit, all paper portfolios are sent to storage. Electronic portfolios are accessible by learners for up to three years after successful completion of their qualification.

We are required by our awarding body, Edexcel/Pearson, to keep records for three years following completion of a course. There are four key elements to these records, which are:

  • assessment plans, action plans and feedback reports
  • candidate interview records
  • IV sampling plans, records and feedback reports
  • record of achievement/tracking documents

This may mean the retention of your personal contact details in case the awarding body needs to contact you with regard to the course undertaken and qualification achieved. During this period of time all records are stored safely and securely and are not used for any other reason. After the period of 3 years all qualification information is destroyed, however your contact details will remain to allow us to inform you of further courses relevant to your career progression.

Controlling your Personal Information

If you believe that any information we are holding on you is incorrect or incomplete, please write to, or email, us as soon as possible at the address below. We will promptly correct any information found to be incorrect.

  • We are committed to ensuring that your information is secure. In order to prevent unauthorised access or disclosure, we have put in place suitable physical, electronic and managerial procedures to safeguard and secure the information we collect online and from our learners.
  • We will not sell, distribute or lease your personal information to third parties unless we have your permission or are required by law to do so.
    Storing Financial information
  • Any debit or credit card payment transactions are via PayPal and they are encrypted. Credit card numbers are used for processing payment only via PayPal and are never copied or retained for other purposes by Concept Academies.
